Article VI. Officers of the
ERC
A.Chairperson
Duties of the Chairperson include,
but are not limited to, presiding at meetings, calling meetings,
appointing members to ad hoc committees, approving minutes,
and otherwise facilitating and directing the affairs of
the ERC.
B. Co-Chair Person
Duties of the Co-Chairperson include,
but are not limited to, presiding at meetings and otherwise
carrying out the duties of the Chairperson in his/her absence.
Will assist in coordinating events throughout the term of
office and will preside over the Committee.
C. Secretary
Duties of the Secretary include, but
are not limited to recording and distributing the minutes
of the ERC. Will assist in coordinating events throughout
the term of office. Will also maintain a membership roster,
keep a record of ERC events, maintain attendance records
and supply needed meeting information to any event coordinator.
D. Treasurer
Duties of the Treasurer include, but
are not limited to providing monthly treasurer’s reports
of income and expenditures of the ERC funds. Will assist
in coordinating events throughout the term of office. Will
also make deposits, handle reimbursements to vendors, and
procure change for fund raiser sales events. The Treasurer
will adhere to UTHCPC's Solicitation
Policy
E. Communications Officer
Duties of the Communications Officer
include, but are not limited to coordination of information
distribution to UTHCPC, and general PR responsibilities
within UTHCPC.
The Communications Officer may appoint ad-hoc committees
on an as needed basis with the concurrence of the ERC.
F. Election of Officers
Elections are held in July every year,
with officers taking office on September 1st. UTHCPC employees
are polled for nominations Chairperson, and General Membership.
The nominees are contacted for their agreement to serve
if elected. Ballots are then mailed to each active ERC member
and returned to the designated individual to tabulate the
results. The new Chairperson is announced at the annual
August meeting. General membership is polled for nominees
of Co-chairperson, Secretary, Treasurer and Communications
Officer.
G. Terms of Office
Officers are elected to serve a one-year
term.
H. Vacancies
Chairperson – the Co-Chairperson
assumes the remaining term, and a new Co-Chairperson is
elected.
Co-Chairperson, Secretary, Treasurer, or Communications
Officer – an election will be held to select a replacement
for these offices.
